Use Banner Document Imaging to automate the Journal Entry Process

Initiative TitleUse Banner Document Imaging to automate the Journal Entry Process
Submitted in Previous Year(s)2021
Critical Information, Notes, Justification, Rationale

In a meeting with Ellucian and our ITS department we were shown functionality that exists within Banner to automate the journal entry process.   Our current process involves select Business Office personnel to initiate specific types of journal entries.  In order to do this they would enter the journal entry using an excel template form, print the completed entry and hand the completed entry to someone else in the Business Office to directly enter it into Banner.  The entered hardcopy is then provided to the Comptroller for review.  Because the review process is after the posting of the journal entry, if the reviewer finds an error then another journal entry is created to fix it.  The current process does not catch keying errors such as incorrect Program numbers, which causes other errors found at a later time.  The automated process will allow key Business Office members to directly enter a  journal entry into Banner, and attach supporting documentation to the entry.  Then the Assistant Comptroller can review the entry, edit it (if necessary), and post it.   Not only will the automated process create a more efficient process, but it will save paper as well. This is a common industry practice that would be nice to implement at our institution.

Consequences of this initiative not being funded

I believe that we already have this functionality and it just needs to be activated, and the supporting documentation can be attached easily since we already have Banner Document Attachment feature.  So no funding is necessary just employee time.
