For several years the Financial Aid Office has been operating without a Financial Aid Technician position. This position was upgraded to a Financial Aid Coordinator position, however the applicant pool at that time did not possess a viable candidate, thus the position was never filled due to budget constraints. In October of 2017 the loan clerk for the Financial Aid Office retired. Due to budget constraints the position was not filled. The absence of a loan clerk along with a professional position has put a hardship on the office in terms of work load and potential inaccuracies in processing.  In order to maintain the integrity of processing both loans and verification of student  records(auditing of income tax returns as well as other student verification records), technological enhancements need to be added to the department such as automated verification processing.

Campus Logic is an advanced Verification Program that uses optical character recognition from documents that are scanned into our Document Imaging System, as well as bringing in character variables from inside the Banner operating system that could increase the integrity efficiency of the audit process. The Campus Logic Program allows the staff member who is completing the verification process (audit) to use minimal time to process a student, thus allowing staff members to complete 3 to 4 times the daily workload in this particular job function.

Since the College has changed it business rules in the payment process, the Verification function (audit of student information) becomes critical in order to meet the time demands for when students and parents bring in their auditable documents.  Once the Verification process is complete the students grant and loan eligibility become finalized and payments to the college can be recognized as factual.  Several SUNY Colleges have purchased the Campus Logic Program and have expressed high reviews of the processing ability of this software.

This process should not remove an employee from the department due to retrenchment, however it should be purchased in order to help the enrollment process in order process student aid with minimal time delay so students may not be deleted due to late and last minute filing  of  their FAFSA
